Job description:

Position Summary

The Administrative Assistant/School Secretary provides administrative and clerical support to ensure the efficient daily operations of the K–8 charter school. This is a non-union, at-will position that serves as the central point of contact for students, families, staff, and visitors. The Secretary plays a key role in maintaining a positive, safe, organized, and welcoming school environment while supporting the school’s mission and operational needs.

Essential Duties and Responsibilities

Duties include, but are not limited to, the following:

Front Office & Daily Operations

  • Serve as the primary front office contact for students, families, staff, and visitors
  • Answer, screen, and route phone calls; manage general email correspondence
  • Monitor school entry, ensure visitor sign-in compliance, and support school safety procedures
  • Help manage student arrival, dismissal, and sign-in/sign-out processes
  • Powerschool maintenance and upkeep
  • Tracking hours of hourly employees
  • Tracking days of daily employees
  • Office equipment maintenance and management (copier, fax, etc.)
  • Submitting and maintaining payroll under oversight of principal (Heartland)
  • Making purchase orders, amazon orders, other vendors under oversight of principal
  • Provide clerical and administrative support to the administrative team
  • Manage facebook and social media accounts
  • Manage and the utilize Remind App
  • Prepare and distribute correspondence, reports, forms, and internal communications
  • Help to maintain accurate student records and files in compliance with FERPA and school policies
  • Schedule parent/community meetings for faculty/staff and coordinate logistics as assigned
  • Order, track, and maintain office supplies and equipment
  • Prepare bills for payment
  • Work with vendors to arrange for services and supplies
  • Assist, at the request of the principal, in developing the school calendar
  • Assist with district billing and reconciliation under oversight of the principal
  • Other duties as assigned by the principal

Student & Family Services

  • Support enrollment, registration, and withdrawal processes
  • Communicate positively with families
  • Assist students with routine needs and coordinate parent contact when necessary
  • Manage the school social media accounts; send communications to school community only after clearing with the principal

Compliance & School Support

  • Maintain faculty and student emergency records
  • Perform additional duties as assigned to meet the operational needs of the school

Professional Standards

  • Cultivate and maintain collegial relationships with all staff and faculty
  • Comply with Professional Standards for behavior in the workplace and those enumerated in the employee manual

Volunteers

Parent/guardian involvement is not just a wonderful addition to a successful school, it is essential. At Fell Charter School, it is also a requirement of all parents/guardians. There are always opportunities for volunteers to help out, be it during lunch periods, Warrior Nights, or over the summer.

All Parents/Guardians are required to volunteer their time for two (2) hours a month. Volunteer programs benefit our school community, and enforce great parent/student and parent/school involvement.

Field Trips

Any Parent/Guardian who attends a field trip as a chaperone must have his/her two clearances and finger prints on file at the school, 24 hours prior to the field trip.

No one will be permitted to attend a field trip without proper clearances; attendance at the pre-field trip meeting is mandatory.

Background Clearance Checks

Per PA law (Act 151, 34), all volunteers must obtain a PA Child Abuse Background Check and a PA Criminal Background Check.

These clearances will be valid at the school for two years from the date of issue, and can be obtained using the links on this page.
